How to export your invoice list from QuickBooks Desktop
QuickBooks Desktop has no ready-made "all my invoices" report. The A/R Aging Detail everyone reaches for lists only what's still unpaid, which quietly removes most of the year from the file. A custom Transaction Detail report filtered to invoices gives you the whole list, and it's a two-minute job the first time and two clicks after that.
I'm Rob Neal. I built the free Signal Check on this site to read exports like this one, so these are the steps I'd give you if you called and asked.
The report to run
Transaction Detail (invoices)
A custom Transaction Detail report, filtered to invoices. It's the one Desktop report that lists every invoice, paid or not, beside its open balance.
- Go to Reports, then Custom Reports, then Transaction Detail.
- On the Display tab, set the dates to at least the last 12 months, set Total by to None, and tick Name, Num, Due Date, Amount, and Open Balance. On the Filters tab, choose Transaction Type, then Invoice. Select OK.
- Select "Excel", then "Create New Worksheet", then "Export", and save the workbook.
Lists every invoice, paid or not, so all three numbers work. Days to get paid will be an estimate.
Worth knowing
- Use Memorize on the report toolbar once you've set it up. Next quarter the whole report is two clicks.
- Export to a new worksheet rather than an existing one. Desktop reuses the old sheet's formatting and can shift your columns.
- Leave Total by set to None. Subtotal rows are easy to mistake for invoices when the file is read somewhere else.
Read it honestly
What this export can tell you, and what it can’t.
What it can tell you
- How much is stuck past 60 days
- Due Date and Open Balance are on every row, so the ledger ages properly: what's current, what's late, and how much of the late money sits with a handful of customers.
- Which customers your revenue rides on
- Because paid invoices stay in the report, the totals per customer are the period's actual invoicing, not just the outstanding remainder.
- How much of your invoicing is still unpaid
- Amount against Open Balance, invoice by invoice, is the cleanest picture of the ledger Desktop will give you in one file.
What it can't
- Exactly how fast you get paid
- The report lists invoices, not the payments that cleared them, so there is no payment date to measure against. Days-to-get-paid has to be estimated from what's open against recent invoicing, and it should be labeled as an estimate wherever you see it.
- Anything about a customer who hasn't been invoiced
- Quotes, jobs in progress, and work that was never billed leave no row here. A quiet month in this file can mean slow billing rather than slow sales.
- Whether that revenue made money
- Costs and hours sit in other Desktop reports. Revenue share on its own tells you who you depend on, not who's worth depending on.
The other option
A/R Aging Detail
If you only need this quarter's outstanding balances, A/R Aging Detail is two clicks and no setup. It's also unpaid items only, so the file can't show revenue share or how fast you get paid.
- Go to Reports, then Customers & Receivables, then A/R Aging Detail.
- Leave the date set to today.
- Select "Excel", then "Create New Worksheet", then "Export", and save the workbook.
Lists only what's still unpaid, so it shows cash stuck past 60 days but not how fast you get paid or your customer share.
Once you have the file
Run the free Signal Check on it.
