How to export your invoice list from Xero

Xero gives you two ways out, and most people find the weaker one first. The Export button on the Invoices screen is easy to spot, but one download holds up to 500 invoices and carries no payment dates. The Receivable Invoice Summary report has neither limit, and it's the file worth building a habit around.

I'm Rob Neal. I built the free Signal Check on this site to read exports like this one, so these are the steps I'd give you if you called and asked.

The report to run

Receivable Invoice Summary

Receivable Invoice Summary. One row per invoice, with the date it was last paid, so how fast you get paid is measured rather than estimated.

  1. Go to Reporting, then All reports, and open Receivable Invoice Summary.
  2. Set the dates to cover at least the last 12 months. Under Columns, add Due Date, Status, Balance, and Last Payment Date, then select Update.
  3. Select "Export", then Excel.

One row per invoice with the date it was last paid, so days to get paid is measured rather than estimated.

Worth knowing

  • The invoice CSV is one row per invoice line, so the same invoice number appears several times. Anything reading it has to add the lines back up by invoice number before the totals mean anything.
  • Xero is sold worldwide, so your dates may be day-first: 15/03/2026 is 15 March, not a broken date. Whatever reads the file needs to know which way round the column runs.

Exactly how fast you get paid
With a payment date on every settled invoice, the gap from invoice to payment is a real measurement. Take the middle of it rather than the average: one 200-day argument shouldn't decide what you think normal looks like.
How much is stuck past 60 days
Due Date and Balance age the open invoices, so you can see what's genuinely late as opposed to merely old.
Which customers your revenue rides on
The report covers the whole period, paid and unpaid, so customer totals are the invoicing you actually did.

What it can't

The shape of a part payment
The column is the last payment date, so an invoice paid in three instalments shows only the last one. The total is right; the story of how it arrived isn't in the file.
Why an invoice sat
A query on one line and a customer who simply pays late look the same here. The dates tell you where to ask.
Whether that revenue made money
Tracking categories, job costs, and time live elsewhere. Invoices alone can't tell you which of your best customers is the least profitable.

The other option

Invoices export

The Invoices screen's Export is fine for a small ledger. It caps at 500 invoices per download and has no payment dates, so a full year takes several exports and still can't show how fast you get paid.

  1. Go to Sales, then Invoices, and open the All tab.
  2. Use Search to set a start and end date covering the last 12 months. One export holds up to 500 invoices.
  3. Select "Export" to download a CSV.

One row per invoice line, which the check adds up by invoice number. No paid dates, so days to get paid will be an estimate.

Once you have the file
